Patient Lodging & Support Services Specialist
The Patient Lodging and Support Services Specialist supports the day-to-day operations of UVA Healths Patient Lodging and Support Service programs, which help reduce barriers to care for patients and families. This role ensures access to safe, comfortable accommodations for patients and caregivers traveling long distances for treatment, patients who have been discharged but must remain close to the hospital for follow-up care, and patients who require monitoring in a supportive, non-clinical environment.
Serving as both a welcoming first point of contact and an essential operational partner, the Specialist helps ensure the Hospitality House and contracted lodging programs run smoothly, efficiently, and with a focus on delivering an exceptional guest experience.
These roles are responsible for providing administrative services to the organizations schools/units/leadership. Activities may include preparing documents of varying complexity, managing the collection, recording, sorting and filing of data/information, preparing reports, making travel arrangements, arranging appointments/meetings, responding to inquiries.The schedule for this position necessitates flexible weekend availability. Guest Services & Experience Welcome guests by greeting, registering, checking them in, and overseeing check-out procedures; prepare associated reports. Serve as a knowledgeable, compassionate resource for guests, offering guidance and support prior to and throughout their stay. Provide consistent, professional, and courteous customer service in all interactions. Address guest needs, requests, and concerns in a timely, professional manner. Answer and route incoming phone calls. Ensure all guest information is collected, documented, and stored accurately and confidentially. Accurately handle payments, and related financial transactions.
Lodging Operations & Coordination Manage all lodging reservation requests from patients, families, social workers, and care teams, ensuring timely review, placement, and confirmation communication. Help coordinate daily operations of the Hospitality House and supported lodging programs to foster a safe, clean, and welcoming environment. Help coordinate room assignments, availability, and upkeep with housekeeping and maintenance partners. Maintain working knowledge of facility services, policies, referral criteria, room types, shuttle services, and related offerings.
Program Administration & External Partnerships Coordinate processes related to philanthropic financial assistance for patients and families. Support hotel contract management to ensure the availability of high-quality, cost-effective lodging options. Collaborate with external partners (e.g., hotels, vendors) to uphold service standards and operational efficiency. Seek feedback from guests and internal stakeholders to support ongoing program improvement.
In addition to the above job responsibilities, other duties may be assigned. MINIMUM REQUIREMENTS
Education: High School Graduate or Equivalent Bachelors Degree preferred.
Experience: 2 years relevant experience required.
Licensure: None required.
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs. The starting base rate for this role is $19.50 hourly.
